The most immediate pressure point was a legacy server set to retire, holding more than 6,000 bond documents, many running around 1,300 pages, with inconsistent file names and layouts. Manually reviewing each file and entering metadata by hand would have taken months of dedicated work. What They’d Do Differently
Even with a strong outcome, the team was candid about lessons learned along the way. Some requirements changed after the build had already started, which affected extraction rules and workflow design later in the project. Looking back, the team would spend more time confirming complete requirements before finalizing the architecture, and would test the self-hosted Smart Fields configuration earlier, including file sizes and how large PDFs opened for remote users. Better discovery up front, they noted, would have reduced redesign work and delays later on.
